Privacy Policy

1. Who we are and what this policy covers
Lexoga is a product of Digievo Labs Private Limited ("DigiEvoLabs", "we", "us", or "our"), India. This Privacy Policy explains how we handle information through lexoga.com, recruiter workspaces, company careers pages, application forms, APIs, and connected features. It covers visitors, account holders, hiring teams, candidates, and people whose professional information is processed for recruitment.
The DigiEvoLabs Privacy Policy and DigiEvoLabs Terms and Conditions also apply. This policy supplements those documents for Lexoga. If their general provisions conflict with this policy, this policy controls the handling of Lexoga information, including our no-sale commitment. Mandatory legal rights always apply.
2. Information we collect
- Account information: name, email address, authentication identifiers and verification status, company membership, role, invitations, and account preferences. Authentication providers, including Google Firebase, handle sign-in credentials.
- Company and recruitment information: company name and careers address, job descriptions, locations, pay ranges, screening questions, team permissions, recruitment activity, notes, scores, hiring stages, and decisions.
- Candidate information: name, email, optional phone number and professional links, resumes and their extracted text, screening answers, qualifications, work history, and other information supplied in an application or added by an authorized hiring team.
- AI and integration information: instructions, relevant job or candidate records, generated assessments, recommendations, evidence, and activity associated with authorized assistants or integrations. Sourcing features may retrieve publicly available professional information from external search services.
- Technical and usage information: IP address, browser and device information, requested pages, timestamps, security and error logs, session information, and usage events where collected by our infrastructure or enabled analytics services.
- Communications: information you provide when you contact us for help, report a problem, request access, or exercise privacy rights.
Information comes from you, your organization, its authorized users and integrations, authentication providers, and professional sources used by enabled sourcing features. A publicly available profile does not mean that its owner has applied for a job or agreed to be contacted.
Please provide only information relevant to recruitment. Do not upload passwords, payment details, government identification numbers, health records, or other sensitive information unless specifically necessary, lawfully requested by the hiring organization, and appropriate safeguards are in place. Required fields are identified on the relevant form.
3. Why we use information
We use information to authenticate users, operate workspaces and careers pages, deliver applications to hiring teams, store and retrieve resumes, support recruitment reviews, run requested AI or sourcing features, manage integrations, provide support, prevent misuse, and maintain service security and reliability. We may use technical and usage information to understand feature use and improve the service. We also process information when necessary to meet legal obligations, resolve disputes, or protect lawful rights.
We process personal information on the basis permitted by applicable law, including consent where required and other lawful grounds where available. We will provide an appropriate notice and obtain any required consent before using information for a materially different purpose. Agreeing to our terms or reading this policy does not itself give consent to optional analytics or unrelated marketing.
4. Applications and hiring organizations
When you apply, your application is made available to the organization identified on the job page and its authorized hiring team. That organization decides how to evaluate applications, which integrations to enable, whom to contact, and how long it needs recruitment records. We generally process those records on its behalf. We are responsible for our own account administration, service operations, and other processing purposes described here.
The hiring organization's own privacy notice and legal responsibilities also apply. It may retain copies or export information to systems outside Lexoga. Contact the organization about its hiring decisions or use of your application. You may also contact us at admin@lexoga.com; we will help identify the appropriate organization and assist with requests concerning information we process. A company closing a role does not automatically delete its applications.
6. AI, search, and third-party services
We may use third-party AI APIs and search providers to support features such as job drafting, resume analysis, candidate review, and sourcing. Depending on the feature requested, relevant job descriptions, resume text, application answers, instructions, and other recruitment information may be transmitted to the provider. AI outputs may then be stored in the workspace for the hiring team's review.
Hiring organizations may also connect their own AI assistants. Those connections can read or change records within their granted permissions. Organizations should review the provider's terms, privacy practices, retention settings, and data-use or model-training settings before sending information. We do not make a blanket promise that every independently connected provider follows the same retention or training policy. Contact us for information about providers used by Lexoga itself.
AI output can be inaccurate, incomplete, or biased. Hiring organizations remain responsible for checking it and making lawful hiring decisions. For questions about an AI-assisted assessment of your application, contact the hiring organization or our privacy contact.
8. Retention and deletion
We retain information for as long as needed for the purposes described here, taking account of active accounts, the hiring organization's lawful instructions, recruitment needs, security, recordkeeping obligations, and disputes. Different categories may require different periods. We do not promise a single automatic deletion date for all recruitment records.
You or an authorized organization representative can request deletion by emailing admin@lexoga.com. We will assess the request, verify authority where needed, and delete or anonymize information when it is no longer needed and no lawful retention requirement applies. Some information may remain in restricted backups or records that must be retained by law; retained copies remain protected. Copies already held by a hiring organization or its independent providers must be addressed with them.
9. Security and international processing
We use measures such as authenticated sessions, role-based access, private file storage, and restrictions on access to recruitment records. Authorized support access may be used to investigate issues and maintain the service. No online service can guarantee absolute security. We will investigate reported security incidents and give notifications required by applicable law.
We operate from India and may use providers or infrastructure in other countries. Information may therefore be processed outside your country, where laws may differ. Transfers must follow applicable legal restrictions and safeguards. This policy does not waive any protection required by law or substitute for consent where separate consent is required.
10. Your choices, rights, and grievances
Depending on the law applicable to you and the information involved, you may request access or a summary of processing, correction, completion, updating, deletion, withdrawal of consent, grievance redressal, and nomination of another person to exercise rights where the law provides for this. Other rights, such as objection or restriction, may apply in your jurisdiction.
Email admin@lexoga.com with your request, the email used for your account or application, and the relevant company or job. Do not send a password or unnecessary identity documents. We may request proportionate verification to protect your information. We aim to resolve privacy grievances within 30 days and will follow any shorter period required by applicable law.
Withdrawing consent does not undo earlier lawful processing. It may prevent us or the hiring organization from providing a feature that needs that information. We will explain any lawful reason for retaining information or declining a request. You may approach a competent regulator, court, or data protection authority, including the Data Protection Board of India where the relevant provisions are in force and apply. Contacting us does not remove those rights.
11. Children
Lexoga is intended for people aged 18 or over. Do not create an account or submit an application through Lexoga if you are under 18. Hiring organizations must not knowingly upload children's information without first arranging a lawful, specifically supported process with us. If you believe a child has provided information, contact us so we can investigate and take appropriate steps, including deletion where required.
12. Policy changes
We may update this policy as the service, providers, or legal requirements change. We will update the date above and provide a prominent service notice or other appropriate notification of material changes before they take effect where required. A policy update alone does not authorize a new use of personal information that requires fresh consent.
